How coconut charcoal supplier matching works
Five steps from spec to container, usually 25 to 35 days after you confirm the PO and pay the deposit. It works the same for a 1-container trial as for a recurring monthly contract.
Spec and RFQ
You send target grade, size, ash, moisture and fixed carbon, packaging, quantity and destination port. We reply within 24 business hours.
Factory match
We send the RFQ to up to 3 factories that fit. Each one contacts you and quotes directly.
Samples
Factories send 1 to 2 kg samples, usually within 7 to 10 days. Test them in your own lab or lounge before choosing.
Contract and production
You sign a sales contract that references the exact spec. The factory carbonises, presses, dries and packs your order.
Inspection and shipping
Independent lab testing before loading, trucking to Cat Lai or Cai Mep port, then the full document set.

Checklist
What to put in your contract with the factory
Three things go wrong most often in coconut charcoal: spec drift, quality fade over repeat containers and missed loading dates. Each one is handled in the contract.
- Exact spec with test method: fixed carbon, ash, moisture, volatile matter, sulfur, size tolerance, burn time test.
- Pre-shipment inspection by SGS, Intertek or Bureau Veritas, chosen by you. Lab certificate before loading.
- Replacement or credit for the affected portion if the certificate shows out-of-spec results.
- Packaging and label artwork approved in writing, with photos of the first packed cartons.
- Mid-run photos or a visit to check cube uniformity, labels and warehouse storage.
- Loading date with a penalty or cancellation right if it is missed.
- Dangerous goods classification: a self-heating test report (UN N.4) the carrier accepts.
- Payment tied to documents, for example 30% deposit and the balance against a copy of the bill of lading.
Matching FAQ
Do you buy the charcoal and resell it?
No. We are a matching service, not a trader or manufacturer. The factory quotes you, invoices you and ships to you. Your contract, payment and documents are with the factory.
How do you choose which factories get my RFQ?
We read your grade, size, spec targets, packaging, volume and destination and send the RFQ only to factories whose production and capacity fit. At most 3 factories receive it, so you are not flooded with quotes.
What payment terms do Vietnamese charcoal factories usually ask for?
A common structure is a 30% T/T deposit against the proforma invoice and the balance against a copy of the bill of lading, or an LC at sight. Terms are negotiated between you and the factory.
Which export documents should I expect?
Bill of lading, commercial invoice, packing list, certificate of origin (for example Form D for ASEAN or Form E for China, depending on your market), fumigation certificate where required, and the lab certificate from pre-shipment inspection.
